Below are the final details for this year’s meet. Please read them carefully in order to ensure a safe and successful event on Saturday. See you soon!
PAYMENT: Payment is due by Thursday October 26. If for some reason your payment has not arrived by Thursday YOU MUST bring cash or check with you to the meet on Saturday in order to pick up your packet. If you would like to check on your payment status please email Jen right away. Those of you who registered as individuals already had to pay online.
LOCATION: The meet will be held at Asante Community Park in Surprise, AZ. You can view a map of the park HERE.
DIRECTIONS: Asante Community Park is located at N Pat Tillman Blvd, Surprise, AZ 85387. Take I-17 to the AZ-303 Loop. From the 303 continue on W Grand Ave. Take N 163rd Ave and N Pat Tillman Blvd to N 167th Ln in Surprise. Please give yourselves plenty of time to arrive. We recommend at least 2 hours before your race.
PARKING: Parking is FREE and plentiful. You can park in the parking lot on the Northeast end of the park or in the surrounding neighborhoods west and north of the park. DO NOT PARK in the Church Lot just east of the park. However WE DO have access to the Dysart Learning Center lot. BUSES – Please park on the streets and save the parking lot for smaller vehicles.
PACKET PICK-UP: Packet pick-up will be located near the finish line in the middle of the park. We have new flagging this year to make things easier to find. Look for the YELLOW FLY BANNER that says PACKET PICK-UP. Please make this your first stop when you arrive. Team packets will include bibs for each and every athlete on your roster. Anyone who signed up as an individual and paid online will have their own bib at pick-up.
TEAM TENT AREA: We have the entire park at our disposal. You can set up your team area anywhere that IS NOT on the course. The majority of the teams tend to set up in the middle of the park in the shady area adjacent to the basketball courts.
COURSE: The course is 3 kilometers long for each race. It is entirely grass, will be well-marked and will be nice and wide throughout. COURSE MAP
TIMING/SCORING: Timing and scoring will be provided by our friends at Wingfoot Finish. LIVE results will be available immediately upon the conclusion of each race on live.wingfootfinish.com. Team scoring for each division will be traditional cross country style–top 5 athletes make up your score while your 6 and 7 runners count as “pushers.” Any ties will be broken by 6th runners.
PLEASE TELL YOUR ATHLETES: DO NOT fold or wrinkle the bibs. The electronic timing chips are attached to the back of the bib and folding the bib could cause the chip not to read when the athlete crosses the finish line.
PLEASE TELL YOUR ATHLETES: Stay away from the finish line when you are cheering for your teammates. We do not want the timing bibs to have any accidental “reads” as athletes get too close to the finish mats when they are not racing.
PLEASE TELL YOUR PARENTS: Only coaches can report any potential timing issues. The only exception are parents of individuals competing outside of a team. Remember to check live results on live.wingfootfinish.com. If there are any discrepancies, coaches must fill out a form at the Registration Tent within 30 minutes of the conclusion of the race in question. DO NOT APPROACH THE TIMING TENT.
OPEN RACE: NEW THIS YEAR! We are excited to be able to offer an Open Race at this year’s meet. The Open Race is for teams who want to bring a high number of athletes but for space reasons we only allow an A Team (7 runners) and a B team (7 runners) from any one school in the Championship divisions. So the Open Race is for anyone (4th-8th grade boys or girls) to get a chance to compete who otherwise wouldn’t be able to. It’s also a great option for kids who may not want the pressure of being in the Championship races. The Open Race is much more low key.
We will award medals to the top 25 finishers across the line in the Open Race (regardless of age or gender).
There is no need to designate whether or not an athlete will be competing in the Open Race or in the Championship Division. The chip timing takes care of that. Simply have your athlete(s) line up at the correct time. Reminder- Only an A Team (7 runners) and a B team (7 runners) from any one school are allowed in the Championship Division. Extra runners must compete in the Open Race.
CHAMPIONSHIP RACES: We have four Championship races; 4th-5th-6th grade Girls, 4th-5th-6th grade Boys, 7th-8th Girls and 7th-8th Boys. These races are highly competitive. The top 25 individuals in each race will receive a medal. 26th-50th in each race will receive a ribbon. The top four teams in each Division will receive a trophy.
RULES AND REGULATIONS: We expect a clean, safe race where athletes respect one another and the sport. We do not have any specific uniform or jewelry rules. We do reserve the right to disqualify an athlete if he or she impedes another runner during the course of the race. Any violations of this one rule must be reported to the registration tent within 30 minutes of the completion of the race in which the alleged violation took place.
AWARDS CEREMONIES: New this year we will have two separate awards ceremonies. The first will take place at 2:40pm for the 4th-5th-6th Grade Championship Divisions (Boys and Girls). The second will take place at 4:05pm for the Open Race as well as the 7th-8th Grade Championship Divisions (Boys and Girls).
CONCESSIONS: We will have a concessions stand on-site with ice cold gatorade and water as well as a few snack items. We WILL NOT have full lunch available. Please have your athletes bring their own post-race food and/or plan to stop for dinner on the way home
OFFICIAL MEET GEAR: Official meet shirts and hoodies will be available on-site near the concessions stand. Please have your children and parents buy their shirts when they first arrive as they will go FAST.
WEATHER: Highs for Saturday are expected to be in the high 80s. We will have water available for the athletes at the finish only. PLEASE make sure your athletes are well-hydrated and bring plenty of fluids for them to drink before and after the race. Let’s be safe!!
